Wedding Terms and Conditions

Payment: To secure your date we require a non-refundable $200 deposit. The remaining balance is due one month prior to the date of your wedding. Please note to confirm availability and wedding flowers, quotes will only remain valid for 15 days. Upon accepting the quote, you agree to ALL the items listed on the quotation. If you wish to cancel your booking, your deposit cannot be used for any other service. If you have paid a holding deposit to secure your date, final pricing will be determined once you have decided on florals and styling and prices quoted in your official preliminary quote will be honoured. Pricing may increase if you alter the styling or flowers in your selections. Any pricing discussed outside a formal preliminary or final quote are to be used as a guide only and are subject to change. Additional charges may apply if we are required to hire ladders, other equipment to set up your florals. Additional charges may apply if access times are limited, when not discussed at the time of booking or arise due to your venue requirements.

 

Liability: Flowers in the Field will not accept liability for damages after delivery. We accept no responsibility for flowers once they are in your care. We will provide as many recommendations as possible regarding flower care. Flowers are preferably delivered on the day of your wedding, however if you wish to collect or have delivery prior to your wedding day, we accept no liability for the care, storage or freshness of these flowers. It is your responsibility to ensure all correspondence correlated with the correct date of your wedding. In the event of a natural disaster or extreme family circumstance, we will refund or credit you for any money paid (outside of the non-refundable deposit). If possible, this may be credited towards another day, minus any outlaid expenses, including flowers already purchased. Please note anyone with a heart condition and or pacemaker should not wear magnet flower arrangements. We do not hold any responsibility for any issues in relation to this. Please advise Kristy if you suffer from severe allergies, hay fever or plant related allergies and we will aim to source flowers low in pollen with your consultation. We will also ensure you are agreeable on the flowers and foliage chosen for your wedding. 

 

Delivery: Delivery fees apply to all flowers being delivered and or set up. Please note an additional surcharge will be applied to Sunday deliveries and pricing will depend on your delivery location. Generally, we discuss set up times with venues the week of your wedding – if we are unable to gain access to the venue until a later time, an additional delivery fee will apply. An example of this being requiring bridal party flowers mid-morning but not being able to gain access to your venue until later in the day. If you require more than one drop off for your flowers additional charges will apply. You should allow 30 mins either side of the scheduled time for delays that may occur which are out of our control. It is your responsibility to ensure we have the correct delivery details. In the event that there is no person available to receive the goods, the goods will be left in a safe place and we will contact you to advise where the goods have been left. If there is not a safe place to leave the goods, they will be returned to our premises and you will need to arrange pick up of goods. 

 

Cancellations, refunds & rescheduled weddings: At the time of your booking, we take a $200 non-refundable deposit. If your wedding is cancelled, this deposit is forfeited as well as a 20% fee on total money paid to cover all cost and bookings lost. If you wish to reschedule your wedding to an alternate date, your deposit can be transferred, provided we have availability and a transfer fee of $100 is applied to your new quote. If your rescheduled date is more than 12 months after your original booking, a new quote with amended pricing will be provided. 

 

COVID cancellations: Due to the ever-changing world we live in, final changes including cancellations and date changes, must be made three weeks prior to your wedding day to allow time to cancel flower orders with suppliers. Cancellation fees may still apply if the order contains large amounts of imported stock. Fees may include half of the order cost or the full wholesale cost of flowers ordered. Deposits remain non-refundable. If your wedding has to be rescheduled or postponed due to Covid restrictions, your deposit will be transferred to the new date, dependent on availability and a transfer fee applies. If we cannot accommodate your new date, the deposit will be forfeited. 

 

Ceremony & reception arrangements: Arrangements will be delivered and set up for the ceremony and reception when requested and quoted. Delivery of bridal party arrangements (e.g. bouquets) will be delivered to your desired location. While we work alongside venues to ensure your floral arrangements are beautiful, there may be unpredicted situations where we are unable to complete the work to the best of our ability. These may be venue related issues such as hazardous conditions or time frames not honoured to allow for ideal set up. Flowers in the Field accepts no responsibility for venue-related issues but will liaise with your venue to discuss any potential concerns. Cake flowers are wired for food safety purposes but we cannot guarantee flowers are food safe and hold no responsibility for food safety. We will do our best to source vases and other décor however sometimes due to external issues we are not able to get the product. We will inform you of this and give different options within your budget. If you select something at an additional cost, it will be adjusted for the final payment. If your final payment has been made, an invoice for the additional fee will be sent and must be paid within 24 hours. Flowers in the Field is not required to pack down your flowers, unless discussed during the booking process. A pack down fee will be calculated, should we have to return to your venue to remove and package flowers. If you hire our items, these must be returned to us within 48 hours in the same condition they were provided. If you wish for us to collect any hired items, please notify us prior so we can quote accordingly. Please note we do not supply flowers and foliage for DIY purposes. 

 

Social media & marketing: Flowers in the Field reserves the right to take images of your wedding arrangements and use them for website and social media purposes. We understand your day is very special so images will not be uploaded until after your wedding. Images taken by professional photographers may also be used. If you wish for this not to occur, please notify us in writing prior to your wedding. All photographers will be credited for their work. 

 

Magnets on corsages & buttonholes: Please note anyone with a heart condition and or pacemaker should not wear magnet flower arrangements. We do not hold any responsibility for any related issues. 

 

Changes to your quote: After your deposit has been paid, your quote may be altered if purchasing costs change (this may occur if you have booked far in advance). We are happy to make small changes when removing items from your quote, for example when buttonhole numbers have changed. Upon accepting the final quote, you are accepting all T&Cs and agreeing to the value listed in the total. Please note the final total may not be reduced by more than 10% of the original agreed upon estimate. We are happy to add ceremony or reception arrangements after your original quote, subject to availability. If this is after your flower order we will do our best to ensure the same or similar flowers are obtained. 

 

Quotes - Sizing guidelines, summaries, and seasonal availability: We will email a summary in the lead up to your wedding outlining the main floral arrangements. This summary determines how we order your flowers, along with the details within your final quote. Please ensure you read the summaries carefully and outline any concerns. We do not hold accountability for any issues that may arise due to this. Flowers in the Field will do every effort to ensure that flowers and foliage used are as discussed within your final quote. Unfortunately, sometimes a certain aspect/s of your arrangements may not be available. Flowers in the Field reserves the right to substitute flowers and foliage, with similar looking item/s. Where at all possible we will discuss these changes with you as necessary. Where measurements have been provided for bouquet and floral arrangements, this sizing is a guide only. Floral arrangements and bouquets are created using flowers that vary in size and shape throughout their natural season. This can affect the sizing of the products we provide, making bouquets and arrangements slightly smaller or larger (within reason).
